Eiden Systems Consulting seeks a dedicated TS/SCI cleared Executive Administrative Assistant for an upcoming contract. This position will provide critical support across multiple departments within the OUSD A&S.
Key Responsibilities:
- Correspondence Management: Oversee all stages of correspondence signed by the Under Secretary and Deputy Under Secretary of Defense, ensuring alignment with OSD Executive Services protocols for accuracy and compliance.
- Staff Action Oversight: Assign and track staff actions, monitor correspondence preparation, ensure compliance with deadlines, and manage distribution and archiving.
- Office Operations Support: Facilitate daily office functions, including scheduling and coordinating meetings, managing calendars, and overseeing general office logistics.
- Scheduling and Coordination: Manage and update schedules, proactively adjusting as needed. Communicate changes promptly to relevant staff, coordinate with meeting attendees, and support meetings and events.
- Document Review and Preparation: Review all incoming and outgoing correspondence, including presentations and reports. Ensure correct formatting, proofreading, and editing; prepare documents for signature and route through staff via hard copy and CATMS.
- Travel Coordination: Organize travel logistics, including creating detailed travel itineraries, interfacing with hotels, car rentals, travel agencies, and troubleshooting any travel-related issues.
- Expense and Compliance Monitoring: Track travel expenses, ensure actions are compliant with government travel policies, assist with developing and reconciling travel authorizations and vouchers.
- Administrative Support: Update rosters, calendar invites, and address lists; organize team introductions for new employees.
- Task Management: Handle multiple assignments for various team members in a fast-paced work environment.
Required Qualifications:
- Security Clearance: Active Top Secret/SCI (TS/SCI) clearance is required.
- Experience:
- Level IV: Minimum of 10 years in executive administrative assistance, with at least 3 years supporting DASD, ASD, or USD-level leadership within DoD. Bachelor’s degree required.
- Level III: Minimum of 5 years in executive-level support with expertise in scheduling, task management, planning, programming, security, and correspondence within DoD. Bachelor’s degree required.
Essential Skills:
- Extensive experience providing executive support within DoD or federal agencies.
- Proficient in managing diverse teams and multiple functional areas across locations.
- Strong command of Microsoft Office Suite, including Word, Excel, and PowerPoint.
- High-level analytical, problem-solving, and organizational skills.
- Exceptional written communication skills, with the ability to deliver quality products under tight deadlines.
- Detail-oriented and self-directed, with adaptability to manage shifting priorities.
- Proven experience in customer relations and managing expectations.
- Professional demeanor with high energy, enthusiasm, and tact; skilled at interacting with senior executives and Pentagon staff.
- Strong interpersonal communication and relationship-building skills.

Minimum physical demands for on task positions: Employee needs to be able to sit at a workstation for extended periods; use hand(s) to handle or feel objects, tools, or controls; reach with hands and arms; talk and hear. Most positions require ability to work on desktop or laptop computer for extended periods of time reading, reviewing/analyzing information, and providing recommendations, summaries, and/or reports in written format. Must be able to effectively communicate with others verbally and in writing. Employee may be required to occasionally lift and/or move moderate amounts of weight, typically less than 20 pounds. Regular and predictable attendance is essential.
